Flooring quotes: supply, installation, waste and materials

Distinguish installed area from material to buy: supply, waste allowance, substrate, installation, skirting boards and transport.

A room measures 40 m², but that does not necessarily mean ordering the same quantity of material. Cuts, laying pattern and packs can require more. Mixing purchased quantity with installed area makes a quote hard to check.

Start with measurements and substrate conditions, then separate supply from work. The example quantities and figures are illustrative: waste and tasks depend on product, geometry and site checks.

Net area versus material to order

Installation area measures the work. Supply quantity also reflects cutting and sales conditions. A 10% allowance may be an example assumption, not a rule for every floor. Format, pattern and layout affect requirements.

For 40 m² of area and an assumed 44 m² of material, show both quantities on their respective lines. Check packs: actual ordering may need rounding. Clarify how spare pieces and leftovers will be handled.

The substrate can change the job

Installation on a suitable substrate does not automatically include removal, levelling or major repairs. Describe checked conditions and outstanding checks. Do not bury a technical requirement in a generic note discovered after ordering.

Where preparation is needed, specify the actual process after technical assessment. For concealed conditions, separate a check or work awaiting confirmation. Final price must match written assumptions.

A supply-and-installation example

Assume 40 m² to install, 44 m² to purchase, suitable substrate and an agreed product. Invented amounts before applicable taxes:

  • Material: 44 m² × €25 = €1,100.
  • Installation on net area: 40 m² × €20 = €800.
  • Specified adhesives and consumables: 1 set × €120 = €120.
  • Supplied and fitted skirting boards: 25 m × €12 = €300.
  • Agreed transport and delivery: 1 × €80 = €80.

Subtotal: €2,400. If consumables are already in installation price, remove their line or recalculate installation. If skirting uses supplied flooring material, ensure requirements and prices are not counted twice.

Do not apply waste allowance to labour without a service-related reason. More purchased material does not automatically mean more installed area. If a pattern needs more time, assess and explain that work appropriately.

Removal and finishing

State whether existing flooring removal, removed-material handling, threshold or door adjustments and junction finishing are included. List separately or describe a package. “Finished floor” alone is insufficient.

For a shop, clarify hours and space availability; for homes, furniture and access; for business sites, continuity of operations. These conditions can matter more than a small product price difference.

When the client supplies material

Check characteristics, quantity, delivery and compatibility. State whether your proposal includes installation, consumables, accessories and checks. Do not assume client-bought products arrive when needed.

If format or pattern changes, review time and requirements before confirming price. Removing supply does not necessarily leave the rest unchanged. Retain the agreed product reference.

The final check

Compare measurements, order quantities and installation quantities. Review inclusions, exclusions and schedule. Explain when delivery controls the start date. Clients should understand outstanding decisions and confirmed information.

Spare material differs from consumption

Describe spare pieces for the client within supply. They are not automatically waste: waste allowance concerns work requirements, while reserves may remain after installation. This explains ordered and delivered quantities.

Check pack contents too. Box sales may require more material than the original assumption. Decide how to show this and who receives leftovers. A larger order does not increase installed area. Compare net area, waste assumption, packs and reserves before sending: they are related, not interchangeable.
