A professional quote explains what the client receives, what it costs and the next decision step. Layout helps but cannot fix vague descriptions or a total based on missing information. Define the proposal before preparing the document.
The method applies to contractors, technicians, shops and independent professionals. Items and terms change, but price still needs a clear relationship to service. Equipment with installation follows the same order as custom services: request, scope, quantity, price and confirmation.
Start with the client's request
Summarise the intended result and verify price-sensitive information. For products, ask about quantity, model and services. For consulting, clarify objectives, deliverables and contacts. For on-site work, check measurements, access and existing conditions.
Distinguish confirmed facts from assumptions. Flag work depending on inspection. A phone estimate does not become final merely because you can immediately generate a PDF. Professional proposals expose outstanding checks.
Identify supplier and recipient
Include relevant business and recipient details, date, offer reference and subject. Distinguish administrative address from work location when needed. Check information before copying an old document.
Use a recognisable name such as “Device supply, Milan site, revision 2”. This helps retrieval and comparison. Avoid unnecessary personal information or internal notes in client-facing references.
Describe each item's contents
Use concrete wording: product or service, quantity, unit and price. State characteristics affecting choice or cost. Group activities where useful while keeping package scope clear.
“Initial configuration and testing of five workstations with existing infrastructure” defines a service. “Complete support” does not specify duration, activities or limits. Show clearly whether separate options belong in the main total.
A products-and-services example
Illustrative amounts before applicable taxes:
- Three agreed-model devices: 3 × €200 = €600.
- Defined installation and configuration: 1 service × €180 = €180.
- Initial training for specified users: 1 session × €90 = €90.
- Delivery to the agreed site: 1 × €40 = €40.
Subtotal: €910. For optional later maintenance, state its price and exclusion from this total. Explain any discount base and check the result. Price should reflect sustainable internal cost rather than copied figures.
Keep terms concise and precise
State validity, planned timing, availability, payment and relevant exclusions. Distinguish start date from duration. Explain delivery checks for ordered products and required client documents for dependent services.
Avoid terms promising unverified legal effects or automatic unilateral changes. Agreements depend on the situation. Have appropriate advisers review technical and contractual wording for important or specialist offers.
Overall price or separate lines?
Separate materials and services when the client needs to choose or remove part. A lump sum can clearly cover a defined result. Detail and pricing method are separate decisions: lump-sum proposals can have precise inclusions.
When quantities change, check which services depend on them. Adding a device does not always multiply transport or training. A good structure reveals those dependencies.
The document ready to send
Generate and review the PDF as received: details, readability, every page, terms and total. Identify work and version in the filename. After changes, ensure you are not sending an earlier copy.
In the accompanying message, summarise subject, open choices and next step. Ask when the client expects to review it so follow-up relates to their decision. Sending does not prove reading or acceptance.
After sending
Keep the shared document and update the offer's situation. Gather requested changes into a recognisable new version. For confirmation, identify the referenced document before ordering or organising work.
Quality appears in fewer doubts, less time reconstructing decisions and a stronger execution basis. The related guides explore steps needing extra attention.
A checklist for each offer type
Professional services may define scope through deliverables, meetings and included revisions. Supplies need models, accessories and availability; site work needs existing conditions and access. Do not force everything into materials and hours when the client must decide something else.
Cleaners can explain areas and frequencies, consultants activities and delivered documents, retailers products and associated services. The common method connects each part of price to an understandable result. Build the checklist around this.
Consider the reader too. One person knows the site visit; a purchasing manager may receive the PDF without meeting you. Include enough context for both. Avoid repetition without omitting price-sensitive assumptions.
For alternatives, separate the proposed solution from open choices. Different devices may share installation or need different services. Use similar categories for comparison and check dependencies before calculating.
A professional offer need not guarantee everything in advance. State confirmed facts, required checks and how to complete them. If decisive information is missing, send a request summary and assessment schedule rather than a final price.
Improve your template using questions from recent recipients. If transport inclusion is repeatedly unclear, show it. If configuration is misunderstood, rewrite it. Quality is what the document helps people understand and decide, not its section count.
